Student Government meeting notes Aug 9 from our representative and president, Tai

 Student Gov’t Meeting notes August 9^th, 2023:

Mariceli wants the student govt to focus on more student interaction by doing more planned events, getting helpful information out via flyers, and feedback on what the student govt needs to improve on.

Student govt representatives can get students to help volunteers or be part of events like promoting events and giving out flyers with information about events.

 

Think about how we can improve other events for everyone to join, like helping other clubs and organizations by promoting things they are doing or collaborating with them by doing less paperwork for risk management.

 

CTC Event: NSO: In-person New Student Orientation event 9 AM – 1 PM on August Thursday 17^th, 2023, Mariceli staff will talk and promote about Student gov’t during the event.

Welcome back bash 10 AM -1 PM on August Thursday 31st, 2023: To recruit any students interested in joining a group. 

 ·        The EXG event might take place in June 2024; more information will be released soon.

 

Officer Elections: Mariceli wants to attend the student govt meeting officer elections for the Fall semester in September time.

All current/ new student candidates can apply for Officers positions like Vice President, Secretary, Treasurer, Student govt Representative.

Candidates must submit a document explaining why they would be the best officer for clubs and organizations to Mariceli by September 8^th, 2023.

Mariceli will have paperwork the candidates MUST FILL OUT to apply for an officer position and turn it in by September 4th; her office is Student lounge in the Student Center building; her email is: msantiagocruz@ctcd.edu

Elections votes will start on September 15-22nd, 2023. 

Elections will take place online via TEAMS or Google Documents.

Final ballots must be done and counted by September 23rd.

Mariceli will have the print shop make the flyers for Elections and post them around campus.

 Extra information: Mariceli wants to start planning events for Spring Semester 2024 with clubs and organizations still being active.

 

The Solar Eclipse event will be held in Mayborn Science Theater: All the current clubs and organizations must have a game, items they are going to sell, and something regarding the event.

 

The event will have food trucks outside of the building, if any clubs and organizations are doing games the prices must be simple, not crazy.

 

Except to see a lot of people show up from 6 AM – 4 Pm the whole time.

 

VGX Gaming Club: They will be doing three different games on the Nintendo Switches on the big screen Mayborn Science Theater screen.

 

Other clubs and organizations might try to play computer games.

During yesterday's meeting, we discussed T-Shirt and how to earn them, offering a second room at the Haunted House if they need another club to create one, finalizing the prices for the Fall Carnival games, figuring out what to sell or do for the Solar Eclipse event, and Upcoming events. 

August events: Cindy, Ash, Tai, and Emma A will be at NSO- New Student Orientation 17th Thursday, only for 8 – 9 AM due to a lack of time and information about how long clubs were allowed to stay. 

August Thursday 24^th: Anyone who has Pass or Military ID to get onto Fort Hood/Cavazos can help out with their Open House event from 11:30 AM – 1:30 PM at CTC Fort Hood Campus Center. Let Cindy know if you want to help

• Cindy and Brandi, Tai will be setting up at 10:30 AM for big games like Connect 4. Cindy and Brandi are not allowed to give students rides there, everyone must try to find a ride there. 

August Thursday 31st: Cindy, Tai, and other workers of the library will be doing the “Welcome back bash” from 10 AM – 1 PM. 

• We will set up at 8 – 9:30 AM before students and family’s come into the event. 
• We will be giving up information about WG, trying to get new students to join, and playing games. 
• Anyone can come to help for an hour or 2 to set up and take down.
•  The theme is “Tropical adventure” We can dress up but STAY WITH IN CTC DRESS CODE LINES PLEASE!

 Location: Anderson building, 2^nd Floor upstairs in the ballrooms next to DJ.

T-Shirt update and rules: Cindy gave us an update about the t-shirt: The T-Shirts are still being worked on and we might get them for open house, but we did go over a few rules about how everyone can earn a T-Shirt.

• Rules: All members new or current must attend six meetings in-person or online and one event. 
• Attendance during meetings and events will let us know when someone reaches the 6th meeting, 1 event mark. 
• Members must be at the meeting in its entirety. 
  • A pop-in, pop-out of events or meetings won't count. 
• This count started in January 2023.

Haunted House and Fall Carnival update/ Prices for games: Tai and Cindy attended the Haunted House and Fall Carnival TEAMS meeting during the meeting.

Cindy asked club members if they wanted to do another room filled with scary clowns by looking down at you and some of them throwing fake spiders, snakes, and bugs. We would decorate that one like a circus and have Amare as the puppeteer. Thomas would guide people through both rooms. 

Tai, Amare, and Edward agreed about making another room, Tai has emailed Maricelli about doing the second room. 

 The Fall Carnival games WG will be doing: 

Spider Race price: 1 ticket per race

• Rules: Only four players will be in their lanes during the race. 
• The spiders and pumpkins must stay within the lines to win a prize.
• The winners will pick a prize out of the box. 
• Game Level: Easy

Monster Trivia toss Price: 1 ticket for 3 bean bag tosses

• Rules: If the beanbag lands on a monster, they get a trivia question. If they get 1 question right, they get one candy. Two questions right, two candies. Three questions right, 3 candies. 
• This is the only game where they get a candy
• Game level: Easy

 Throw the spider at the web price: 1 ticket per spider being thrown at the web. 

• Rules: The players must try to get a spider on the red part of the web by throwing it.
• I try only
• If they get into the red spot, they win a prize out of the box. 
• Game level: Hard 

 Velcro Monster Eyeball  1 ticket for 2 eyeballs

• Rules: The players must throw the monster's eyeballs in the eyeball area on the monster. 
• Must get both eyes into the correct spot
• The winners can go box and pick up their prize of choice. 
• Game Level: Easy

Ring the Ghosts: 1 ticket for 3 rings

• Rules: Must ring a ghost to win. They get one ring. If they miss, they get a second one. If they miss again, they get a third one. They only win one prize. They just get three chances to do it. 
• Game level: Medium

 Amare made Haunted House music and showed us at a meeting. The music is outstanding, and he will try to make it longer. 

Solar Eclipse event is going to be held at Mayborn Science Theater on CTC main campus on April 9^th, 2024. We can put up a booth for our club. Cindy and club members talked about selling Pant space bounce ball toys we can sell during the event for a crowd of people coming down to the Texas area from 6 AM – 4 PM for three days. Another option is to sew hacky sack balls with space themes and sell those. We can also do a couple of free crafts - UFOs and comets. (easy to make)

Update on stuff

 Hi all!

A couple of Writers Guild things................

We have Emma A helping with the New Student Orientation from 8 am-9am and could use another person if possible for that event on Aug 17th.

If anyone is already on Fort Cavazos and wants to help out at their Open House, it's on Thursday, Aug 24 from 11:30-1:30 pm. You will have to find a ride as we can't bring you there. But if you are already an on-base person, then we would love the help. It will be at the CTC building which is down the parking lot from the public library. Let me know and I'll send you a map. We're getting there at 10:30 to set up big games like a humongous Connect 4. 

Also, we need lots of help for the Welcome Bash. That's on  Thurs Aug 31 from 10 am to 1 pm. If you can only spare an hour or 2 that works. Or help set up or take down. It's at the Anderson building, 2nd floor. It's a tropical theme, so come tropical. No coconuts, please. 

We need you guys to talk up the Writers Guild and make it sound fun! 

And remember I said we were having a special meeting on August 23rd? Scratch that. I forgot that we have Professor Matthew's Meet and Greet from 4-5 that day. Come join us for that event. It should be cool!  

So our next meeting is next Weds Aug 9 and then Weds Aug 30. I attached the flyer.

I'm still waiting to hear about the tee shirts. Hopefully, we can get them by Open House, but it may be the next one.

At our next meeting, we need to determine how we are going to distribute them. Like determining who has attended so many meetings recently or helped with school events. We may also want to start an attendance count for tee shirts and only give it to the people who have been actively participating in the last months or so. We can talk about it at the meeting.

OPEN HOUSE JULY 22nd EVENT: Maricieli was asking if everyone in the meeting about their open house went.

Net Impact Officer and Sponsor got a lot of people stopping their tables asking questions about the ctc business and etc. 

Writer Guilder President Tai let Maricilei we got a few members for Writer Guilder during the Open House event. 

The Open House had 200-270 plus students and their families showed up.

Student Gov’t information: Maricieli will send out information about the student govt meeting on ctc social media to get word out there with flyers around campus regarding on how to join the officers team group chat to access the files, calendar, meetings. 

In early September the time frame Maricieli will have an election for Officers positions to help out with student gov’t, more information will be given out by the end of August.

Future Student gov’t officers will share any upcoming events and program reports about their clubs and or organization wants to do in case any ctc students wants to volunteer to Mariceli the head of Student Life. 

October 18th Officers and Sponsors training meeting only, Time: UNKNOWN.

Cindy, our sponsor will need to keep in contact CTC Maintenance about air conditioning being shut off during future indoor events by applying for the Ad Astra program.

Extra Information: EXG will host the event in April time, they should have the outline floor plan done by the end of this month July, sent to Mariceil via email the event will held in CTC Planetarium.

Christina Strohfus officer of Net Impact wants to do an collaboration with other clubs for upcoming events and exchange information.

Meeting minutes June 14-28

 Meeting Minute for June 14-28th 

During our WG meetings on June 14-28th, we started to work on our Haunted House decorations items like painting/ recreating creepy babies, buying chairs, a table/ tea set for a tea party and a table for a mad scientist, getting the lighting, finding creepy sounds/ music to play on a laptop with fall carnivals games after it was agreed upon from games for the Fall carnival side. 

Five members will be in the haunted house room. Cindy and Current/ future members will be helping in the fall carnival side unless they want to switch out with other members for the haunted house with a break.

We are still working on the final preparations for the Haunted House/ Fall Carnival games. 

Cindy and Bandie purchase new stuff and dolls to help make sure the Haunted House room is completed during their days off from work.

July meetings 12 Cindy had informed us the times were changed from 4:30 to 5:30 PM to 3:30 -4:30 PM due to student workers; we have changed the time again to 4 PM during the fall semester.  

We did have to fix up Discord a bit so our new members didn’t get lost in the Discord halls!

HH/ FC aka Haunted House and Fall Carnival meeting notes Team 7/11/2023

•    Mariceli had a list of clubs to be in the event: Net Impact, Culinary, AG/Sci, Fine Arts: MUSE, Math & Eng, Pokémon Go, and Writer Guild. 

•    Currently, Three Haunted House rooms are WG, Net Impact, Pokémon Go

•    Mariceli will do a walkthrough of the rooms and explain the rules for Haunted House

•    Mariceli will have set dates for getting a Haunted House room with few ground rules after the open house is done. 

•    If you want to get a fog machine for the haunted house room with a fog machine, it went to Pokémon Go Club. They are going to have one for safety reasons. 

•    All of the Haunted House rooms will have one outlet, don’t plug something in that can overheat the system/ use to electricity 

•    Mariceli, and business office, marketing office will sell tickets for 50 cents/ having Haunted House tickets

•    We have a new marketing team member. Her name is Karen; Mariceli will talk about how to market the HH/ FC event closer to the event. 

 In Early September HH/FC flyers will be sent out to everyone to pass out Mariceli will have sent out by 500 or more. 

•    Student gov’t meetings will be held on Wednesdays at 1 PM every two weeks from now. 

July 22th: Writer Guilder and CTC Library went to Open House event to help get a few more members to join our club in which we did, Our President Tai made an poster for Writer Guilder to off at the event, Amare and Dev with our Librarian's  Brandi and Cindy helping us to get the information out to our future students and club members!

June 28th we continued to work on our creepy babies dolls, testing out our new creepy moving dolls, and finished all of the Haunted House Decorations.
